Office and Facilities Manager
Compensation: $57,000 Salaried Exempt

Description of the Work:
Responsible for office management, administrative support, and facilities for all Out Boulder County offices. The on-site Office Manager is an integral team member who supports the daily operations of the organization and manages daily work activities of the primary office. This position will work closely with the Executive Director and Deputy Director.
Essential Functions:
Responsible for the smooth daily operations of the organization in the areas of office management, administrative functions, and facilities
Manage inventory and purchase office, custodial, technology, and building supplies in accordance with budgetary guidelines for all locations
Conduct employee onboarding and exit process regarding office management, facilities, and Out Boulder County property
Act as liaison with vendors, contractors, and consultants regarding building systems, supplies, and services
Ensure all purchasing and installation of equipment meets relevant standards and budgetary guidelines
Safety manager for all locations and activities and responsible for training of employees
Implement and manage an efficient system for office files and records
Manage, set expectations, and execute the space rental process, tours, contracts, payments, staffing, and communications
Develop, implement, and administer maintenance programs and budgets for equipment including service/maintenance histories, preventive and scheduled maintenance, management of warranties, service contracts, and competitive bids
Identify needs, makes recommendations for, and facilitates the procurement of furniture, equipment, and other goods in accordance with budgetary guidelines
Manage the space rental process and interact with prospective and confirmed renters
Respond to facility emergencies as required
Assess and maintain telecommunications (including wireless/cellular) and building security systems and in conjunction with IT vendor
Responsible for maintaining building organization and cleanliness
Serve as Fire Safety Coordinator, and is the agency’s point of contact with the Fire Department
Maintain Incident/Accident Reports for the facility; maintains the OSHA 300 log
Provide administrative support such as answering phones, distributing mail, and preparing documents
Maintain communications systems including contact management, document management, and archiving
Prepare and edit correspondence, presentations, reports, and communications
Coordinate and ensure access to software as needed including Salesforce, Microsoft, LastPass, etc.
Ensure all appropriate worker rights posters are displayed at all OBC facilities
Performs other related duties as assigned

Required Qualifications:
Computer proficiency required, Microsoft Office Programs (including Excel, Word, and PowerPoint) and Google Drive, CRM experience preferred
Bilingual Spanish/English language skills strongly preferred
Preference for organization
This position is physically demanding and requires the ability to lift 25 pounds, work at a computer for three hours a day or more and have tolerance for interruptions throughout the day
Must have a valid driver’s license and safe driving record
